Why it matters

Integration is where FICO gets real

Most postings in a running SAP system do not come from someone typing a journal entry. They come from a goods receipt in MM or a billing document in SD, which create accounting documents automatically. A FICO consultant needs to understand these flows because they configure the accounts that these documents hit.

This is also a favourite interview topic, because it shows whether a candidate understands the whole system and not only the finance screens.

MM and FI

Purchasing to payment: MM-FI integration

  1. Purchase order. A purchase order commits to a vendor but creates no accounting entry.
  2. Goods receipt (MIGO). For a stock material, the system debits the inventory account and credits the goods receipt/invoice receipt clearing account (GR/IR). The accounts are found through automatic account determination (transaction OBYC), using the valuation class and transaction keys such as BSX for stock and WRX for GR/IR.
  3. Invoice verification (MIRO). The system debits GR/IR and credits the vendor account in accounts payable. Any price difference goes to a price difference account.
  4. Payment. The payment run (transaction F110) clears the vendor invoice against the bank account.

The GR/IR account should be near zero over time. Open items there show receipts without invoices or invoices without receipts, which finance checks at period end.

SD and FI

Order to cash: SD-FI integration

  1. Sales order. It records the customer's order and creates no accounting entry.
  2. Delivery and goods issue. Posting goods issue reduces inventory and posts the cost of goods sold. The accounts come from OBYC, using transaction keys such as GBB with the account modifier for the cost.
  3. Billing (VF01). The billing document debits the customer account and credits revenue. Revenue accounts are found through account determination in SD (condition technique, transaction VKOA), based on elements such as the chart of accounts, sales organisation, customer account assignment group and material account assignment group.
  4. Incoming payment. The customer's payment clears the open invoice in accounts receivable.
Account determination

The idea behind account determination

Account determination is a lookup. The system takes attributes of the document, such as the material's valuation class, the movement type or the customer's account assignment group, and finds the general ledger account to post to. A good FICO consultant understands the lookup keys, not just the account numbers.

Practice

How to practise this

Post a complete cycle on a training system: create a purchase order, receive goods, post the invoice, run the payment, and then check the accounting document at each step. Do the same for a sales order through delivery, billing and payment. Seeing the entries appear is the fastest way to remember them.

FAQ

SAP S/4HANA Finance (FICO) — your questions

Goods receipts and invoice receipts in MM create accounting documents automatically. The accounts are found through automatic account determination in transaction OBYC, using valuation class, movement type and transaction keys.

Billing documents in SD post the customer receivable and revenue to FI, and goods issue posts the cost of goods sold. Revenue accounts are found through account determination, configured in transaction VKOA.

GR/IR is a clearing account between goods receipt and invoice receipt. The goods receipt credits it and the invoice receipt debits it, so unmatched items show receipts and invoices that have not been paired.

OBYC is the transaction used to configure automatic account determination for inventory-related postings in MM, such as stock, GR/IR, consumption and price differences.

You need to understand how they connect to finance, though not their full configuration. Knowing the purchase-to-pay and order-to-cash flows and their accounting entries is expected in interviews.
